Team Assistant Vita Coco - New York, NY

We’re looking for a Team Assistant to help welcome visitors of all stripes in a professional and friendly way.  The ideal candidate takes ownership of a variety of important duties that are necessary to keeping things running smoothly around our HQ office in New York!
This is a great entry-level position that puts you in the center of the company, with the ability to learn all about the business.  Below are the key aspects of the position and what we look for in the ideal candidate:

Principal Duties and Responsibilities:
  • Reception
    • Embody our brand to greet every visitor who calls or arrives to the HQ office in your friendly, helpful and enthusiastic manner
    • Represent the company in a positive way by making the experience consistently enjoyable for everyone
  • Office Coordination
    • Make resources readily available for all employees: be proactive to make sure there’s always the right amount Vita Coco product, office supplies, printer paper, bathroom supplies, etc. 
    • Keep the communal office areas organized, inviting and consistent
    • Attend to shared office equipment such as printers, air cooler, sound system, air conditioning, refrigerators, and coordinate with vendors for repairs
    • Mail and Packages: sort and distribute mail, create shipments, monitor shipping budget
  • Administration
    • Support key executives in Finance, Sales, & Marketing departments with administrative tasks such as expense reporting, travel booking, data entry, event planning.

Desired Skills and Experience

  • Friendly personality and great work ethic is more important than anything on else on this job posting!
  • One to two years of administrative experience in a business setting would be great
  • Professional, responsible, dedicated, friendly and outgoing, flexible, patient, and naturally-enthusiastic about our brand
  • A genuine enjoyment in helping others
  • Proactive problem solving skills and ability to improve processes and methods
  • Organization savvy – ability to keep track of different projects and keep everything on schedule
  • A mind and eye for detail
  • Solid written and oral communication skills
  • Working independently and taking direction from a lot of different sources simultaneously- and always with a smile
  • General computer skills – Microsoft Office, online researching
